How to convert a PDF bank statement to QBO for QuickBooks

By the StatementToSheet team · Updated

QuickBooks can't read PDF statements, so you convert the PDF to a QBO file first and then upload that. Upload the statement to a converter, download the .qbo file, and in QuickBooks Online go to Bank transactions → Link account → Upload from file. The steps for Online and Desktop, and the limits that cause failed uploads, are below.

What is a QBO file?

A QBO file is QuickBooks' "Web Connect" format, the same file a bank gives you when you choose Download for QuickBooks. Inside it is a list of transactions in the OFX standard: date, amount, payee and a unique ID per transaction. Because each transaction carries its own ID and sign, QuickBooks imports it without asking you to map columns, which is why it is the most reliable way to get statement data into QuickBooks.

Step 1: Convert the PDF statement to QBO

  1. Download the statement PDF from your online banking (bank account or credit card both work).
  2. Drop it on the StatementToSheet converter and check the transaction table and balance result.
  3. Click QuickBooks to download the .qbo file.

Credit card statements are detected automatically and written as a credit card account, so purchases show as charges and payments as payments in QuickBooks.

Step 2: Upload the QBO file to QuickBooks Online

  1. Go to Bank transactions (under Accounting).
  2. If you see a tile for the account, select it. Then open the Link account dropdown and choose Upload from file.
  3. Drag in the .qbo file and select Continue.
  4. Choose the QuickBooks account the transactions belong to and select Continue.
  5. Review the transactions in the For review tab, then categorise or match them as usual.

Step 2 (Desktop): Import into QuickBooks Desktop

  1. Open your company file and go to File → Utilities → Import → Web Connect Files.
  2. Select the .qbo file.
  3. Choose to link it to an existing account (or create one) and confirm.
  4. Review the downloaded transactions in the Bank Feeds center.

Why does my upload fail?

QuickBooks Online's help page lists limits that are easy to hit with long statements:

LimitWhat to do
File must be 350 KB or lessConvert one statement month at a time.
Up to 1,000 transactions per uploadSplit a long statement into two uploads.
File must be in EnglishQBO tags are always English; for CSV, use English column headers.
CSV must have 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit)If you upload our CSV instead of QBO, delete the Balance column first, or QuickBooks may read it as a fourth amount column.

That last row is the most common surprise: a CSV with a Balance column has four columns, which QuickBooks expects to be Credit and Debit. Uploading the QBO file avoids the problem entirely.

Will importing the same statement twice create duplicates?

Every transaction in a QBO file has an ID, which QuickBooks uses to skip transactions it has already downloaded for that account. Even so, upload each statement only once and look through the For review list before adding anything.

Is there a free PDF to QBO converter?

StatementToSheet converts 5 pages a day for free, including the QBO download, with no account. Paid plans are for bookkeepers who convert many statements a month. If you prefer a spreadsheet first, see how to convert a bank statement to Excel.

Try it on your own statement

5 pages a day are free, no account needed. Your file is processed in memory and never stored.
